How to export Typeform responses

Open the form in Typeform, go to Results, then Responses. Select all rows, click Export, choose CSV or XLSX and click Export. The file downloads and Typeform emails you a link.

Export all responses from a Typeform form

    Open the responses table

    Open the form from your Typeform workspace, click Results, then the Responses tab. The number of responses the form has received is shown next to the tab name.

    Choose which responses to export

    Tick the checkbox in the header row to select every response, or tick only the rows you want. If you have searched or applied a filter, the export contains only the responses that match.

    Export as CSV or XLSX

    Click the Export icon. In the window that opens, pick CSV or XLSX and click Export. The number of responses in the file is shown at the top of that window, so check it matches what you expect.

    Collect the file

    The file downloads to your device. Typeform also emails you a link to it, which is useful for large exports that take a while to prepare.

    Download uploaded files separately

    If the form has a File Upload question, the spreadsheet holds links rather than the files. Choose the file uploads (.zip) option in the same export window to get the files themselves.

CSV or XLSX: which one to pick

Pick CSV if the responses are going into another tool: a spreadsheet app, a CRM, a database or another form builder. Every tool reads CSV, and it keeps the data as plain text with nothing hidden in formatting.

Pick XLSX if a person is going to open the file in Excel and work in it. It opens with columns already separated, and long answers are less likely to be split by an app guessing the delimiter wrong.

What is in the file

Each question becomes a column, in the order the questions appear in the form, and each response is a row. Typeform also adds columns of its own, including a response token in the column headed #, the start and submit time of each response, and a network ID.

  • The times are in UTC, whatever time zone you are in. A response submitted at 9am in New York shows as 13:00 or 14:00 depending on the time of year.
  • The network ID describes the respondent's network, not the response. Two responses from the same office or household can share one, so do not use it to remove duplicates. Use the # column instead: it is unique per response.
  • Hidden fields you passed in the form's URL are exported as their own columns.

Keeping a live copy in Google Sheets

A download is a snapshot. If you want every new response copied into a spreadsheet as it arrives, use Typeform's Google Sheets integration: open the form, click Connect, find Google Sheets and click Connect, then choose a new or existing sheet.

When you set it up you can also send the responses the form already has, but Typeform documents this for forms with up to 1,000 results, and partial responses already collected are not sent. For a form with more history than that, export a CSV as well.

A privacy note about uploaded files

Typeform's documentation says that downloading a responses export creates a publicly accessible link to each uploaded file: anyone holding the link can open the file. Treat an export of a form that collects documents, CVs or photos as sensitive, and do not share the spreadsheet more widely than the files themselves.

Before you downgrade or cancel

Typeform states that forms and previously collected responses are not deleted when a paid plan ends, but that a plan change can close forms to new responses and reduce seats. Export first anyway: a file on your own drive does not depend on anyone's plan rules, and it is the only copy you control.

The export works one form at a time, from that form's Results page, so list the forms you still need before you start.

Moving the responses to another form builder

Most form builders can create a form from your Typeform, but the responses are a separate step. In Spiceform, paste the form's public Typeform link to bring the form across, including its Typeform logic jumps, welcome and ending screens and theme. Then open that form's Results, click Import responses, and upload the file you just downloaded.

You check where each column goes before anything is saved. Imported responses keep the date they were originally submitted, do not trigger notifications or automations, and do not count toward your monthly response allowance. Uploading the same file twice does not create duplicates.

In the export window, choose the file uploads (.zip) option to get every file at once. To get one file, open that response from the Responses tab and click the file link under the File Upload question.

The start and submit times are exported in UTC. Convert them to your own time zone in the spreadsheet, or tell the tool you are importing into that the column is in UTC.

Typeform says forms and previously collected responses are not deleted when a paid plan ends, though forms may stop accepting new responses. Exporting a CSV before you change plan is still the safe order of operations.
